No more reinventing the wheel.<\/p>\n<p>Over the years, I\u2019ve templated everything from event invitations to proposals to webpages for my clients.<\/p>\n<h3>Save reading \u2014 and writing \u2014 time.<\/h3>\n<p>I love writing templates because they:<\/p>\n<ul>\n<li><strong>Save communicators time<\/strong>. Story patterns exist, and a savvy writer can deconstruct them. Instead of reinventing them with each piece, spend your time coming up with brilliant facts and figures and polishing your prose.<\/li>\n<li><strong>Overcome information overload<\/strong>. Once readers are familiar with the template, they don\u2019t have to learn each subsequent, say, webpage\u2019s structure, write Martin J. Eppler and Jeanne Mengis in \u201cPreparing Messages for Information Overload Environments,\u201d an IABC Research Foundation report. That reduces processing time and effort.<\/li>\n<li><a href=\"https:\/\/www.wyliecomm.com\/2022\/11\/creative-templates\/\"><strong>Result in more effective communications<\/strong><\/a>. A group of Israeli researchers found that nine out of 10 award-winning ads used templates; only 2.5% of less successful ads had.<\/li>\n<\/ul>\n<p>To write better, easier and faster, template your press releases, webpages, proposals, case studies \u2014 even your personality profiles. The secret is to develop standard structures that are flexible enough to cover a variety of subjects.<\/p>\n<p>Here are 13 templates to consider:<\/p>\n<h3>1. Story tables or grids<\/h3>\n<p>Are you comparing X number of items by Y number of characteristics? <a href=\"https:\/\/revvingupreadership.com\/writing\/micro-content\/how-to-present-data-in-a-table\/\" target=\"_blank\" rel=\"noopener\">Make your story a table<\/a> or grid. Lists<\/h3>\n<p><a href=\"https:\/\/www.wyliecomm.com\/writing-tips\/types-of-articles\/how-to-write-listicles\/\">Listicles and other list stories<\/a> make it easy for skimmers to get the gist of the message without doing a deep dive on the topic. No wonder they\u2019re so popular on social media and other platforms.<\/p>\n<h3>3. Case studies<\/h3>\n<p>For <a href=\"https:\/\/www.wyliecomm.com\/writing-tips\/types-of-articles\/how-to-write-a-case-study\/\">case studies<\/a>, <a href=\"https:\/\/revvingupreadership.com\/2022\/04\/how-to-write-a-good-testimonial\/\" rel=\"noopener\" target=\"_blank\">testimonials<\/a> \u2014 <a href=\"https:\/\/www.wyliecomm.com\/writing-tips\/how-to-write-creative-content\/corporate-storytelling\/how-to-craft-a-great-story\/\">even mini narratives<\/a> \u2014 try this simple structure:<\/p>\n<ul>\n<li>Problem<\/li>\n<li>Solution<\/li>\n<li>Results<\/li>\n<\/ul>\n<h3>4. Web pages<\/h3>\n<p>In a recent project, we created templates for some sections of Saint Luke\u2019s Health System\u2019s new website. Department pages, for instance, included:<\/p>\n<ul>\n<li><strong>Highlights<\/strong>: A bulleted list of our three most compelling differentiators \u2014 firsts, mosts, bests, biggests and onlies<\/li>\n<li><strong>Nut graph<\/strong>: A one-paragraph summary of the department<\/li>\n<li><strong>The team<\/strong>: Notable players<\/li>\n<li><strong>Services<\/strong>: A bulleted list<\/li>\n<li><strong>Learn more<\/strong>: Contacts and links<\/li>\n<li><strong>Testimonial<\/strong>: A <a href=\"https:\/\/www.wyliecomm.com\/writing-tips\/micro-content\/pull-quote\/\">callout<\/a> from a patient<\/li>\n<\/ul>\n<p>Your web pages will be different, but you\u2019ll save a lot of time if you\u2019ll develop templates. We\u2019ve templated web pages for Tellabs and PetSmart Charities, as well as Saint Luke\u2019s.<\/p>\n<h3>5. Memos<\/h3>\n<p>Procter &amp; Gamble uses this one-page memo template:<\/p>\n<ul>\n<li>Idea<\/li>\n<li>Background<\/li>\n<li>How it works<\/li>\n<li>Key benefits<\/li>\n<li>Next steps<\/li>\n<\/ul>\n<p>If a memo at Procter &amp; Gamble exceeds a single page and doesn\u2019t use this format, Eppler and Mingis write, it\u2019s likely to be returned to the writer unread.<\/p>\n<h3>6. Project proposals<\/h3>\n<p>Procter &amp; Gamble also uses this two-page proposal template:<\/p>\n<ul>\n<li>Background<\/li>\n<li>Objective<\/li>\n<li>Rationale<\/li>\n<li>Plan<\/li>\n<li>Open issues and questions to be answered<\/li>\n<li>Next steps<\/li>\n<\/ul>\n<h3>7. Solutions descriptions<\/h3>\n<p>In their IABC Foundation report, Eppler and Mingis themselves demonstrate the power of templates by organizing their solutions pages like this:<\/p>\n<ul>\n<li><strong>Context<\/strong>: Who\u2019s doing it<\/li>\n<li><strong>Main idea<\/strong>: Why it works<\/li>\n<li><strong>Implementation<\/strong>: How to<\/li>\n<li><strong>Caveat<\/strong>: Issues to avoid<\/li>\n<\/ul>\n<h3>8. Advertising<\/h3>\n<p>Most creative ads use one of these <a href=\"https:\/\/www.wyliecomm.com\/2022\/11\/creative-templates\/\">six advertising templates<\/a>, according to a group of Israeli researchers:<\/p>\n<ul>\n<li><strong>Pictoral analogy<\/strong>: Replace the central image with another one \u2014 a croissant for a tennis ball, for instance<\/li>\n<li><strong>Consequences<\/strong>: Car speakers that are so loud, they make a bridge collapse, say<\/li>\n<li><strong>Extreme situation<\/strong>: A jeep driving under the snow to demonstrate its all-weather capabilities, maybe<\/li>\n<li><strong>Competition<\/strong>: A race between a car and a bullet, for instance<\/li>\n<li><strong>Dimensionality alteration<\/strong>: A woman arguing with her husband about life insurance \u2014 in a seance, after he\u2019s died, for example<\/li>\n<li><strong>Interactive experiment<\/strong>: the Pepsi Challenge, for instance<\/li>\n<\/ul>\n<h3>9. News releases<\/h3>\n<p>These elements of the social media release template would make a good template for any release:<\/p>\n<ul>\n<li>Headline<\/li>\n<li>Deck<\/li>\n<li>Introductory paragraph or two<\/li>\n<li>List of key facts<\/li>\n<li>List of quotes<\/li>\n<\/ul>\n<h3>10. Personality profiles<\/h3>\n<p>The International Association of Business Communicators and Qualcomm and are among the companies that template human interest stories. In fact, all these organizations get profilees to fill in the blanks, so communicators need only edit the profiles.<\/p>\n<p>IABC\u2019s template includes these questions:<\/p>\n<ul>\n<li>Which word or phrase do you think is overused right now?<\/li>\n<li>How would you explain your profession to a child?<\/li>\n<li>What did you have to learn the hard way?<\/li>\n<li>If you could choose another profession, what would it be?<\/li>\n<li>What\u2019s the best reward for a job well done?<\/li>\n<\/ul>\n<h3>11. Critical issues memo<\/h3>\n<p>Mike Hall, corporate communication manager for Pioneer Hi-Bred Europe, developed this memo template for outlining critical communication issues:<\/p>\n<ul>\n<li><strong>Situation<\/strong>: What happened?<\/li>\n<li><strong>Response strategy<\/strong>: How we are dealing with it?<\/li>\n<li><strong>Media coverage<\/strong>: What are the media writing about it?<\/li>\n<li><strong>Media strategy<\/strong>: How we will move forward and with whom?<\/li>\n<li><strong>Standby statement to press<\/strong>: What do we currently release as the corporate view on the issue?<\/li>\n<\/ul>\n<h3>12. SPIN memo<\/h3>\n<p>Here\u2019s another way to template a similar message:<\/p>\n<ul>\n<li><strong>S<\/strong>ituation<\/li>\n<li><strong>P<\/strong>roblem<\/li>\n<li><strong>I<\/strong>mplications<\/li>\n<li><strong>N<\/strong>ext steps<\/li>\n<\/ul>\n<h3>13. Narrative structure<\/h3>\n<p>Writing an anecdote or story? Eppler and Bischof suggest this structure:<\/p>\n<ul>\n<li>The (hero\u2019s) context<\/li>\n<li>A challenge or crisis to overcome<\/li>\n<li>A failed attempt<\/li>\n<li>A successful attempt (climax)<\/li>\n<li>Resolution<\/li>\n<li>A moral, or lessons learned<\/li>\n<\/ul>\n<h3>Write by number<\/h3>\n<p>Words like <em>template, formula<\/em> and <em>recipe<\/em> are sometimes seen as profanities in a creative field like writing. But good writing is at least as much science as art. And you can\u2019t argue with results like \u201ceasier to read\u201d and \u201ceasier to write.\u201d<\/p>\n<p>No doubt about it: <em>T-e-m-p-l-a-t-e<\/em> is not a four-letter word.<\/p>\n<p style=\"text-align: center; font-weight: bold;\">What template could you use for your next piece?<\/p>\n<p>___<\/p>\n<p>Source: Martin J.
