Having a personality is essential online. Go for an individual, not institutional, voice.<\/p>\n<p>In other words, as Stacey Cox, manager of internal communications at CenterPoint Energy, says, use your \u201cbusiness casual\u201d or \u201ccasual official\u201d voice online.<\/p>\n<p>Here are five ways to speak \u201cbusiness casual\u201d on your website:<\/p>\n<h3>1. Bring your personality to work.<\/h3>\n<p>Are you writing messages as if your CEO is looking over your shoulder? Choosing big, important, bureaucratic words and using your stuffiest, stand-up-straight grammar? Carefully sucking all the personality out of your prose?<\/p>\n<p>Here\u2019s an idea: Have a personality. Have an actual person\u2019s personality, not a corporate communication department\u2019s personality.<\/p>\n<p>\u201cGet human!\u201d writes Amy Gahran, author of Contentious.com:<\/p>\n<p>\u201cStop trying to speak in a monolithic, generic voice. It\u2019s incredibly difficult to write that way, and it\u2019s even more excruciating to have to read that kind of content. Why make things so hard for yourself and your audience? Just write clearly, in human terms \u2026 No one believes a monolithic voice, so it undermines your credibility.\u201d<\/p>\n<p><a href=\"http:\/\/www.shonaliburke.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Shonali Burke Consulting<\/a> is one organization that\u2019s nailed a human voice. I can almost hear Shonali speak as I read:<\/p>\n<h5>\u201cTired of the noise? Looking for a smart communications strategy that will positively impact your business? You\u2019ve reached the right place. Welcome.\u201d<\/h5>\n<p>My favorite line?<\/p>\n<h5>\u201cEnough about me. How can I help you?\u201d<\/h5>\n<p>Yep, it\u2019s easier to hit the right tone when your name\u2019s on the door. But here\u2019s a <a href=\"https:\/\/www.wyliecomm.com\/2022\/08\/tone-of-voice-in-writing\/\">process for finding the right voice<\/a> when it\u2019s not.<\/p>\n<h3>2. Write a letter.<\/h3>\n<p>In 1962, Tom Wolfe was covering the hot rod and custom car culture of Southern California for <em>Esquire<\/em>.<\/p>\n<p>That is, he was trying to cover it. He was having so much trouble that his desperate editor, Byron Dobell, asked Wolfe to send him his notes, so he could have another writer finish the job.<\/p>\n<p>On the night before the deadline, Wolfe sat down at his typewriter and, ignoring all journalistic conventions, banged out a personal letter to Dobell explaining what he wanted to say on the subject. Dobell just removed the salutation \u2014 \u201cDear Byron\u201d \u2014 and published the letter intact.<\/p>\n<p>The result was \u201cThere Goes (Varoom! Varoom!) That Kandy-Kolored Tangerine-Flake Streamline Baby\u201d \u2014 an article that helped establish the <a href=\"http:\/\/en.wikipedia.org\/wiki\/The_New_Journalism\" target=\"_blank\" rel=\"noopener noreferrer\">New Journalism<\/a> movement.<\/p>\n<p>Frustrated with IBM employee jargon, Eliot Fette Noyes \u2014 who invented the IBM Selectric typewriter \u2014 composed a pamphlet called \u201cDear Mother.\u201d He suggested that employees write memos as if they were simple notes to Mom.<\/p>\n<p>Warren Buffett famously writes his letters to shareholders to his sister Bertie.<\/p>\n<p>If it works for them, it might work for you.<\/p>\n<h3>3. Write your piece in the first person.<\/h3>\n<p>\u201cIf you aren\u2019t allowed to use \u2018I,\u2019 at least think \u2018I\u2019 while you write, or write the first draft in the first person and then take the \u2018I\u2019s out,\u201d Zinsser suggests. \u201cIt will warm up your impersonal style.\u201d<\/p>\n<p>Great tip for content marketing pieces.<\/p>\n<h3>4. Read your message aloud.<\/h3>\n<p>To make sure your business writing is conversational, say, <a href=\"https:\/\/www.wyliecomm.com\/2022\/08\/conversational-tone-in-writing\/\">\u201cHey! Did you hear?\u201d<\/a> Then read your copy aloud.<\/p>\n<p>If the rest of your message sounds as if it could logically follow that introduction, you\u2019re on the right track. If it sounds like the teacher in Charlie Brown cartoons (\u201cWah Wah Wah Wah\u201d) you might want to revise.<\/p>\n<h3>5. Write in a conversational style.<\/h3>\n<p>Want readers to pay attention to every single word?<\/p>\n<p>Don\u2019t worry too much about formal writing and grammar rules. Instead, aim for a good conversational tone \u2014 informal, me-to-you, one-to-one, focused on your target audience and appropriate to your subject matter.<\/p>\n<p>To sound more conversational:<\/p>\n<ul>\n<li><a href=\"https:\/\/www.wyliecomm.com\/writing-tips\/what-is-readability\/ideal-sentence-length\/\"><strong>Avoid long sentences<\/strong><\/a>. They can be stuffy, and short ones are easy to understand. (And don\u2019t start a sentence with long dependent clauses.)<\/li>\n<li><a href=\"https:\/\/www.wyliecomm.com\/writing-tips\/what-is-readability\/how-to-avoid-passive-voice\/\"><strong>Write in the active voice<\/strong><\/a>. Write in Subject-Verb-Object sentences \u2014 explain who did what to whom. Avoid the passive voice.<\/li>\n<li><a href=\"https:\/\/www.wyliecomm.com\/2022\/04\/reader-centered-writing\/\"><strong>Choose the second person<\/strong><\/a>. Call your reader \u201cyou\u201d instead of \u201cthe employee\u201d or \u201cthe customer.\u201d<\/li>\n<li><a href=\"https:\/\/www.wyliecomm.com\/writing-tips\/what-is-readability\/how-to-avoid-jargon\/\"><strong>Drop the jargon and bureaucratese<\/strong><\/a>.
